Executive Personal Assistant

Hiring Organisation: African Tantalum (Pty) Ltd

-Manage the CEO diary, follow up on appointments and setting meetings in order to ensure the efficient use of his time
-Set up and maintain a document management system for all CEO documents
-Set up and maintain a contact management system for the CEO
-Plan, procure, implement, manage and attend all such internal or external events inclusive of meetings, workshops, conferences as required by the CEO.
-Plan, procure, implement and manage all local and international travel arrangements for the CEO
-Compile and submit the monthly reports of the -Executive Management to the CEO
- Arrange Annual Board Strategic session
-Perform secretariat services for ad hoc committees as required by the CEO
-Manage Administrative procurement processes for the Office of the CEO
-Experience in compiling and distributing meeting documents to the Board
-Drafting and typing of general correspondence for the CEO
-Typing and/or editing of process and procedural documents, including updates
-Generate correspondence on behalf of the Chief Executive Officer
-Take minutes at meetings in order to record outcomes and decisions made at meetings
-Follow up on action points from meetings until resolved
-Manage the leave and ensure that all leave applications are submitted to HR
-Control filing
-Open emails, record appointments and prioritize issues that need to be addressed
-Distribute incoming mail on a daily basis and ensure that the mail is delivered to the correct person for prompt action
-Screen calls in order that the CEO receives only relevant calls, and to ensure other matters are handed to the correct person for action
-Support reading and research activities
-Contribute to project management where CEO has an operational role in key initiatives

Job Requirements:
Experience, knowledge and skills required

-Honesty and Integrity
4 to 6 years working experience
-Higher Secretarial diploma an advantage
-Knowledge of Project/Events Management
-Short hand / speed writing for accurate note taking highly recommended
-Must be able to handle and work under extreme pressure
-Typing speed of 80-90 wpm. A high degree of accuracy, axiomatically, in conjunction with this typing speed is required
-Above average English language skill.
-Strong linguistic skills, well spoken
-High emphasis on administrative and organisational skills
-ICT in particular Microsoft packages skills with strong focus on PowerPoint and Excel
-Assertive and able to use initiative
-Confident and adaptable
-Well groomed
-Maintain a high level of confidentiality

-Namibia Driver's License Code 08 essential
-Own car- advantageous
